Parasol Projects LLC ("Parasol," "we," "us") operates parasolprojects.com, our booking system, and our client portal. This policy explains what information we collect, why, and the choices you have.
Information we collect
- Information you give us. When you submit an inquiry, request a booking, download a guide, sign up for our newsletter, or message us, we collect details like your name, email address, phone number, company or brand name, and the details of your project. If you become a client, we also collect billing details (billing entity, address, and phone) and the documents connected to your booking, such as your license agreement and certificate of insurance.
- Portal account information. Client portal sign-in uses email-based login links. We keep a record of portal accounts, team members you invite, and confirmations you make in the portal (for example, acknowledging our key booking terms).
- Payments. Payments are processed by Intuit QuickBooks. Card and bank details are entered directly with Intuit — Parasol never sees or stores your full payment credentials. We keep records of invoices and payment status.
- Automatically collected information. Like most websites, we use cookies and similar technologies to understand how the site is used (pages visited, device and browser type, approximate location) via Google Analytics, Google Tag Manager, and HubSpot tracking.
- Chat. If you use the chat assistant on our site, we process the messages you send it so it can respond, and we may review conversations to improve the service.
How we use it
- To respond to inquiries, check availability, and manage bookings from request through check-out.
- To prepare and process license agreements, invoices, and payments.
- To operate the client portal, including documents, booking status, and billing details.
- To send you relevant updates about our spaces, pop-up resources, and offers — you can unsubscribe from marketing at any time via the link in any email.
- To understand how our website performs and improve it.
Who we share it with
We do not sell your personal information. We share it only with the service providers that run our operations, and only as needed:
- HubSpot — inquiries, contact records, and email
- Airtable — booking and client records behind the portal
- Supabase — portal login (email link authentication)
- Intuit QuickBooks — invoicing and payment processing
- BoldSign — electronic signing of license agreements
- Google (Analytics, Tag Manager) — website analytics
- Netlify — website hosting
We may also disclose information if required by law, or in connection with a business transaction such as a merger or sale.
Cookies & analytics
You can control cookies through your browser settings, and opt out of Google Analytics with Google's browser add-on. The site works without marketing cookies, though some features rely on essential ones (like keeping you signed in to the portal).
Retention
We keep booking and billing records for as long as needed for our business and legal obligations (for example, tax and accounting requirements). Inquiry records that never become bookings are kept only as long as they are useful for responding to you.
Your choices & rights
- Unsubscribe from marketing email at any time via the link in any message.
- Ask us what information we hold about you, ask us to correct it, or ask us to delete it (subject to records we're required to keep).
- Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act or the EU/UK GDPR. We honor valid requests under applicable law.
Children
Our services are for businesses and adults. We do not knowingly collect information from anyone under 16.
Changes
If we materially change this policy, we'll update the date above and, where appropriate, notify active clients.
